Accounts Payable Specialist
Accounts Payable Specialist is responsible for efficient and accurate processing of financial transaction records, vendor related document retention in Electronic Document System (EDS) and assisting with the preparation of various financial and tax reports in a multi-company, not for profit environment.
Essential Duties and Responsibilities:
- Coding, entering and checking of A/P invoice data into accounting software
- Printing and processing weekly check and ACH payments
- Issuing purchase orders
- Setting up new vendors using W-9, ACH information, etc.
- Identify contractors requiring 1099s and insurance certificates
- Updating weekly cash reports for Controller
- Identifying invoices that require special handling such as use-tax, fixed assets, etc.
- Preparing and distributing 1099s including the IRS digital transmission
- Ensuring all vendor documentation is filed in EDS
- Corresponding with vendors as needed
- Preparation of tax returns (Property, Excise, Alcohol, etc.)
- Accumulation of data needed for the annual financial audit
- Worker's compensation audit including W9 retention
- Internal control processes (monitoring)
- Special projects or other duties may be assigned
Qualified Candidates Will Possess the Following:
- Undergraduate degree in Accounting
- 2+ years of accounts payable experience
- Proficiency in Microsoft Office including advanced Excel skills i.e. V-LOOKUPS, etc.
- Exceptional interpersonal/communication skills with a team-oriented personality
- Strong work ethic with the ability to work independently or collectively
- Critical thinking and analytical skills
- Strong time management skills: prioritize workload to meet deadlines in a growing/changing environment
- Financial responsibility is a must
- Ability to learn and apply Not for Profit GAAP
- Experienced with accounting software packages; Microsoft 365, Dynamics SL, Bi360, Altru, Depreciation Solutions, DocStar or CounterPoint, a plus
Office Environment, nonstandard hours, 8 hour workday between 7:30 am and 5:30 pm, Monday through Friday; extended hours and weekends possible. Candidates must be able to sit for long periods of time. Driver's License required.
